AI and Property Management

AI and Property Management. Here’s How We’re Using It — And What We’ll Never Hand Over.

If you’ve owned rental property in San Diego for more than a few years, you’ve probably noticed the same thing we have: the industry is changing fast. New tools, new expectations, and a lot of noise about how AI is about to “replace” property management altogether.

We want to tell you where we actually stand.

We Believe in Technology That Works While You Sleep — Not Instead of Us

Property management has always been a 24/7 job in spirit, even when it couldn’t be in practice. A resident’s water heater doesn’t fail on a convenient schedule, and a prospective tenant browsing listings at 11 p.m. shouldn’t have to wait until 9 a.m. for a response.

That’s where we’re leaning into AI — not to replace the relationships we’ve built, but to keep things moving in the gaps where a human isn’t available yet.

A good example: we’re building AI into our maintenance intake process. When a resident submits a request after hours, instead of a generic ticket landing in a queue, AI can ask the clarifying questions we’d normally ask ourselves — Is the water actively leaking? Is this affecting a working outlet or GFCI? Is anyone without power or water right now? By the time our maintenance coordinator picks it up in the morning, they’re not starting from scratch. They have the information needed to triage correctly, dispatch the right vendor, and prioritize true emergencies over routine fixes — which is exactly the proactive-over-reactive approach we’ve always tried to run on.

That’s the whole idea: AI handles the parts of the job that don’t require a human touch, or that can at least get the ball rolling before one is available. It doesn’t handle the job.

Where We Draw the Line with AI and Property Management

Here’s what AI will not be doing at FBS:

It won’t replace the phone call when you need to talk something through. If you’re an owner trying to decide whether to approve a repair, or a resident dealing with a frustrating situation, you deserve a real person who can hear the full context and use judgment — not just follow a script.
It won’t replace the in-person walkthrough, the Zoom check-in, or the sit-down conversation. Some decisions — a difficult resident situation, a major repair, a renewal negotiation — need a human in the room, actually listening. It won’t replace accountability. If a decision affects your property or your tenancy, a person on our team owns that decision and stands behind it.

We built this company on the idea that we treat every property like it’s our own, every resident like a guest, and every dollar like it’s our last. Those aren’t values you can automate. They’re values you practice, conversation by conversation, decision by decision.

Why We’re Doing This Anyway

Some property management companies will avoid AI altogether because it feels impersonal. Others will lean on it too hard and lose the relationship piece that actually makes this business work. We’re trying to find the middle — because the honest truth is that if we don’t evolve with the tools available, we can’t keep the promises we’ve made to owners and residents for decades.

Faster response times. Fewer things falling through the cracks overnight. Better information in our team’s hands before they even pick up the phone. That’s what good technology should do — it should make the humans on your account more effective, not less necessary.

The Bottom Line

We’re not chasing AI because it’s trendy. We’re using it where it genuinely helps us keep our promise: to respond fast, communicate clearly, and never leave you guessing. And we’re staying just as available as we’ve always been — by phone, by Zoom, and in person — for everything that actually needs a person.

Technology changes. Our commitment to doing right by the people we work with doesn’t.
